I4P-Informatikai Kft. (“Data Controller”, “we”, “us” or “our”) is committed to protecting your privacy and wants you to be familiar with how we collect, use and disclose data directly or indirectly relating to you as an individual (the “Personal Data”).

This Privacy Policy describes how we process your Personal Data collected in relation to the website available at https://www.tridentsign.eu, https://www.tridentsign.hu  URL addresses (hereinafter: Website) and the service under the name Trident Online Signing Platform (the “Service”).

We are based in Hungary, a member of the European Union. Our processing of Personal Data is subject to the Regulation (EU) 2016/679 of the European Parliament and of the Council on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation; the “GDPR”) and Act CXII of 2011 on the right to informational self-determination and on the freedom of information (“Infotv.”).

Definitions

Data subject:              

Any natural person whose data is collected, held, or processed.

Personal Data:

Any information relating to an identified or identifiable natural person (Data subject); an identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.

Personal Data processing:

Any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.

Consent of the Data subject:

Any freely given, specific, informed, and unambiguous indication of the Data subject’s wishes by which he or she, by a statement or by clear affirmative action, signifies agreement to the processing of Personal Data relating to him or her.

User:

Any natural person who accesses the Website or accesses or uses our Service.

Business Account:

The group account on which multiple Users may use the Service. It may be a registered business entity’s ( legal person or a sole trader on whose behalf Users have been registered to the Service) account which uses the Service.

2. What Personal Data do we collect and how do we use your Personal Data

Our data control activity in the cases specified below is based on the following legal bases:

2.1. Personal data generated by logs

Data subjects: Registered Users.

Types of processed personal data:

  • date,
  • time,
  • IP address of the User,
  • any personal data.

Purpose of the processing: For security reasons, in connection with ensuring the operation of the system. These logs ensure that the activity of the Users is retrievable for a limited time.

Duration of the processing: The data shall be processed for 6 months.

Legal basis of processing: GDPR Article 6 (1) f): the purposes of the legitimate interests pursued by the controller or by a third party.

2.2. Registration and use of the Service

During registration we ask Users to provide a private, or company e-mail address. In case the company e-mail address or telephone number cannot be linked a natural person (e.g. [email protected]), it does not qualify as personal data.

The e-mail address of a User registered under a Business Account is visible to the Users registered under the same Business Account with administrator privileges.

If you request the deletion of the User’s account, the User account together with the personal data will be permanently deleted within 60 days from the User’s declaration in accordance with the backup deletion cycle.

Data subjects: Registered Users using the Service.

Types of processed personal data:

  • name,
  • e-mail.

Purpose of the processing: To enable Data Controller to deliver the Services to its Users, including enforcing applicable terms and conditions.

Duration of the processing: During the term while the User’s account exists. 

Basis for the processing: If the User registers as an individual or a sole trader the processing is based on GDPR Article 6 (1) b): performance of a contract. If User registers on behalf of a company the processing is based on GDPR Article 6 (1) f): the purposes of the legitimate interests pursued by the controller or by a third party.

2.3. Invitations to the Service

During the invitation process Users can invite other entities (natural or legal persons, other types of business entities including sole traders) to the Service by e-mail. We ask the Users to provide a company e-mail address if possible, in this case. In case the company’s e-mail address account cannot be linked to a natural person (e.g. [email protected]), it does not qualify as personal data.

Data subjects: Natural persons who can be identified by the given name or e-mail address.

Types of processed personal data:

  • name,
  • e-mail.

Purpose of the processing: To enable duly authorized Users to invite other entities (natural or legal persons, other type of business entities including sole traders) to the use of the Service.

Duration of the processing: If a User registers in the name of the invited entity, the data processing will progress according to point 2.2. If the invited entity does not register, the identified person’s data will be erased after 60 days of the sent invitation.

Basis for the processing: GDPR Article 6 (1) f): the purposes of the legitimate interests pursued by the controller or by a third party.

By sending an invitation, you agree that you will only enter the name and the email address of a recipient you have requested prior permission to use his/her name and email address to send an invitation. i4p shall not be liable if the User has not obtained the recipient’s consent for sending the invitation or the User has incorrectly provided the recipient’s name or e-mail address.

2.4. Customer service

Data subjects: Anyone contacting the customer service via e-mail.

Types of processed personal data:

  • e-mail,
  • any personal data.

Purpose of the processing: Answering the questions, solving the problems, traceability. Improving the customer experience.

Duration of the processing: If the consent is not withdrawn, i4p shall process personal data for a 5 year term (in accordance with Section 6:22 (1) of Act V of 2013 on the Civil Code (“Ptk.”)). This duration ensures that i4p can pursue and enforce its civil law claims and can defend against any civil law claims of the subjects.

Legal basis of processing: GDPR Article 6 (1) a): consent of the Data subject.

3. Cookies

3.1. What are cookies

As is common practice with almost all professional websites the Website and the Service uses cookies, which are tiny files that are downloaded to your computer, to improve your experience and help us understand you and your behavior during visiting the i4p Website. This page describes what information they gather, and why we sometimes need to store these cookies on your computer. We will also share how you can prevent these cookies from being stored however this may downgrade or ‘break’ certain elements of the site’s functionality.

3.2. Disabling cookies

3.3. Our and third-parties cookies

The following section details which cookies you might encounter visiting the Website or using the Service:

  • Website and Service uses cookies to record the fact that the visitor accepted the cookie/privacy policy. This data has to be erased after 1 year.
  • Website and Service uses Google Analytics which is one of the most widespread and trusted analytics solutions on the web for helping us to understand how you use the site and ways that we can improve your experience. 4. Your rights related to Your Personal Data

You have certain rights regarding your Personal Data, subject to local data protection laws. As regards our processing of your Personal Data which is subject to the GDPR, you have the right:

  • to obtain from us the confirmation whether we process your Personal Data and to access your Personal Data, including the details of such processing, as specified in Article 15 of the GDPR, and to obtain a copy of your Personal Data;
  • if inaccurate, to rectification and completion of your Personal Data in accordance with Article 16 of the GDPR;
  • to demand that we erase your Personal Data (the right to be forgotten) on the grounds specified in Article 17 of the GDPR (including if the processing of your Personal Data is no longer necessary for the purposes stated in this Privacy Policy);
  • to restrict our processing of your Personal Data on the grounds as set forth in Article 18 of the GDPR (for example, if you contest the accuracy of the Personal Data, the processing may be restricted until we verify the accuracy of the Personal Data);
  • if our processing of your Personal Data is based on our legitimate interest, to object to any further processing on the grounds relating to your particular situation in accordance with Article 21 of the GDPR;
  • to receive your Personal Data from us (right to data portability), to transmit such Personal Data to another data controller or to have us transmit your Personal Data to another data controller in accordance with Article 20 of the GDPR;
  • to lodge a complaint regarding our processing of your Personal Data with the local data protection authority.

This privacy policy does not address, and we are not responsible for, the privacy, information or other practices of any third-party operating any site to which the Website or the Service contains a link. In case you visit another website or application, even if it is recommended by us on our website, our privacy policy is not applicable, and we are not responsible for the activities of, and content available on such websites or applications.
